Old Business:

  • Stewardship Update
    • Thank you notes are being mailed this coming week
  • Voting on BOR Trustees
    • Motion to approve Peggy Johnson and Robert Edwards for a term of 3 years on the Book of Remembrance Board.
    • Motion: Tony Milburn
    • Motion carried
  • Update on courtyard project
    • Tony Powell and Carter Dickerson presented the bid process for the courtyard construction project
    • 2 bids were received
    • Cru Cutters is the low bid and bid that is proposed to approve
    • ~$268,000 was estimated
    • There are a few things not included, such as pavers, concrete, brick, lighting, fence-work, etc.
      • Anticipated cost for these is ~$119,000
    • Total estimate is ~$388,000
    • There is a shortage in funds from the Capital Expenditure fund and the Garden fund of $72,000
    • Discussion ensued on how to approach this shortage
    • Bids are good for 60 days, and more discussion will come in the January meeting
  • Communicating to parish on staffing for growth projections
    • Communications committee to discuss the dissemination of this information to the congregation
  • Discussion on Physical Resources wish list

New Business:

  • Schlachter lease for parking lot on corner of Madison and 4th
    • Renewing for 2018 $1325/month
      • Motion to renew by Tony Milburn
      • 2nd by Chris Kelley
      • Motion carried
    • Recognition and thanks to members rotating off vestry
    • Draw on line of credit (in line with vestry guidance)
      • There was a draw on the line of credit for $50,000 in accordance with the bylaws for actions when the bank account drops below a certain amount
    • Review of feedback on proposed vestry dashboard – tabled until January
    • Resolution on adding option for absentee ballots to by laws
      • Add to the vestry calendar that the ballots will be ready for dispensation by the senior warden soon after the nominations due date
    • Discussion of church security
      • Appropriate assessment and response to risk
      • Review current state
      • Process / procedure changes – security, notification
      • Physical plant changes – windows, video camera, locks
      • Vestry will put together a small committee to put together a list of items that will be able to be addressed in a timely manner. 
        • This committee will work with the Physical Resources meeting to put together a recommendation by January
      • Vestry liaison to committee / commission communication responsibilities
        • o Encourage liaisons to connect with Lauren about meeting times, get on the bulletin board, and post minutes to the bulletin board and/or to the Vestry every month
        • o Idea to create a “Parish Council” of commission chairs to discuss the roles of commissions
      • Delegates to convention
        • February 24th – Emmanuel of Winchester
        • Hilda Weaver, Natalie Gabbard, Katie Davidson, Chris Kelley = Delegates
        • Robert Edwards and Tony Powell = Alternates
        • Tony Milburn moved that the Slate as noted be elected
