Old Business:

  • Courtyard Update
    • o Updated pricing information distributed by the Physical Resources Commission
      • (3) options – good, better, best
      • “better” option currently unfunded by ~$45,000
      • Original quote “best” – was underfunded by ~$80,000
      • The Physical Resources Commission presented the “better” option to move forward with immediately
    • Motions by Tony Powell:
    • This moves that the Courtyard Subcommittee of the Physical Resources Commission be immediately approved to use funds available in the Capital Campaign Fund Account, also known as the Capital Project Account, to hire Viox and Viox Inc. to act as project manager for the Courtyard Renovation and Fountain Project, and authorizes management of said project to begin immediately following signing of contract by both parties between Trinity Church Covington, Inc. and Viox and Viox, Inc.

    • This moves that a committee led by Tony Milburn, be immediately approved to solicit funding of approximately $50,000 to cover expenses associated with the Courtyard Renovation and Fountain Project that are over and above the accumulated funds available to this project at present.

New Business:

  • Initial review of Vestry Dashboard
    • Chris Kelley presented a preliminary Vestry Dashboard
      • To be used as a “scorecard” or way of measuring the actions of the Vestry
    • Finance Monthly Statements – Gary Gabbard and Matt Swendiman
      • Gary discussed 2018 pledges – 104 total units to date
    • Review of topics/messages for budget hearing
      • Preliminary review of budget hearing presentation
      • Discussion ensued about what to present to the parish at the budget hearing
      • Add statistics over the past 3 years
        • Trend analysis
        • Pledging information
      • Add slide comparing year over year change in assets and liabilities
    • Appointment of Vestry commission/committee liaison
      • Matt Swendiman – Finance Liaison
      • Debra Taylor and Lisa Edwards – Nurture liaisons
      • Christi Bailey – Outreach
      • Brandon Gabbard – Physcial Resources Liaison
      • Shannon Gemeinhardt – Evangelism liaison
      • Nancy Grayson – Coordinator of commission/committee chairs
      • Barb Hollar – Christian Formation liaison
      • Katie Davidson – Communication Liaison
    • Communicating February meeting dates and meeting minutes
      • February Vestry meeting and Retreat will both be held on February 10th @ 9am @ The Children’s Home
      • Chris Kelley moves that we schedule a special vestry meeting on February 5th to finalize the budget

      • Election of officers – Senior Warden, Junior Warden, Secretary
        • Peter D’Angio appoints Chris Kelley to Senior Warden
        • Chris Kelley nominates Tony Powell to be Junior Warden

        • o Chris Kelley nominates Katie Davidson to be Clerk

        • o Treasurer will continue to be Lindsay Workman
      • Vestry meeting and procedural points: carried February
        • o Greater use of the Culture of Curtesy Covenant, so that everyone gets a say in every matter
        • o Time boxing topic discussions, knowing that we can extend the time at the end of a time block
        • o Using the strategic filter (and values and strategies) to support discussion and make decisions
        • o Continue work on transparency within the Vestry and with the congregation
