Vestry Members Present:

Old Business:

  • The Vestry participated and completed Safeguarding our Children course – led by Barb Hollar
    • She will also be conducting training to volunteers throughout the Summer and Fall
      • An option to consider an additional foundation to fund growth and key positions
      • Diversifying income is an opportunity the Vestry is looking at, and Brandon Gabbard suggested that we form a committee to find different ways to increase income
    • Staffing Updates – Peter
      • Vestry reviewed proposed staffing plans
      • Motion – Shannon Gemeinhardt moves to accept the proposed staffing plan to:
        • Increase the hours and responsibilities of the Parish Secretary to include coordinating overall parish communications (see attached Job Description)
        • Decrease the hours and responsibilities of the current Director of Christian Formation (see attached Job Description)
          • Discussion ensued
        • Motion Carried

New Business:

  • Preparing for a Capital Campaign – call with Andi Tillman
    • Three phase proposal was sent and discussed by Andi – Approximately 18-24 months
      • Information Phase
        • This includes a “Dreamcatching” period – including meetings in small groups within the Parish
        • Creating Volunteer a Leadership Ambassador Team – that are compiled of parishioners who are as informed as board members talking in normal circles, but with consistent information
        • Possibly a 3-6mo timeline for this stage
        • Involving oversight, recommendations, and support throughout the case development and communication process
      • Feasibility Study – 3 mo process – usually in the Fall
        • Includes Andi doing onsite days of interviews – interacting with >10% of highest donors
          • With this information, Andi will be 90% be able to predict 90% of the time, how much we could raise in a Capital Campaign
          • She’d also be able to discern what is the most important to each person
        • This would also include Inquiry Studies sent to each household via Direct Mail and/or Electronic survey to remaining congregation
        • Andi would then report back to the Parish about the findings of this Feasibility Study; whether this is something we can feasibly achieve
      • Invitation Phase
        • Solicitation of gifts and pledges
        • Andi would provide professional design and printing of campaign brochures with accompanying pledge cards and remittance envelopes
        • Andi would also visit 5-6 times during this period
        • There would also be a final Direct Mail piece to those not already given/pledged
      • Capital Campaign Pledge Period would be for 5 years
        • This could help with attrition
        • One of the largest reasons churches do Capital Campaigns is to reduce debt, reduce deferred maintenance
      • Andi is going to send a detailed report and proposal including budgets
        • She is also going to send a detailed timeline for this possible Campaign
      • The Vestry is going to solicit other proposals from different organizations
        • This will be discussed in a Special July Vestry Meeting
      • Draw on Line of Credit
        • There has been another expected draw on the Line of Credit for $50,000
      • Debra Taylor has resigned from her term on Vestry – she has a remaining 6mos on her term
